A step-by-step tutorial for school administrators: design a student ID template once, map an Excel roster of students, and export hundreds of print-ready PVC cards in one batch.
1. Prepare your student roster
Open your school management software and export the student list to Excel or CSV. Include columns for full name, class, registration number, blood group, date of birth, and a photo file name. Keep the column headers in the first row — Berlvis Credentials uses them as the mapping keys.
2. Collect student photos
Place every student photo in one folder. Name each file after the student's registration number (e.g. SS1-024.jpg) so the bulk ID card generator can auto-match each face to the right row. Square or 3:4 portrait crops at 600×800 px work best on PVC.
3. Design the student ID template
Open the Studio and pick the CR80 portrait preset — the standard size for student ID cards. Add your school crest, the school name, photo placeholder, name field, class field, registration number, and a QR code bound to the registration number for gate verification.
4. Map the Excel columns to template fields
Upload your roster, then drag each spreadsheet column onto the matching field on the card. Berlvis Credentials remembers the mapping for the next batch — perfect for issuing replacement cards mid-term.
5. Export print-ready PDFs for PVC printing
Export the full batch as a 300 DPI PDF print sheet sized for your card printer, or as individual PNGs. Send the file to a PVC card bureau or print in-house on a Zebra/Evolis card printer.
